Learn how you can re-sort lists in QuickBooks for Windows and Mac

Re-sort master name list in QuickBooks desktop (for Windows)

The master name list is the list of your customers’ jobs, employees, vendors and other names. There are multiple ways to re-sort them.

From the Banking menu

  • Go to the Banking menu and select Write Checks.
  • Tap on the Pay to the order of field and press Ctrl + L keys on your keyboard.
  • Check the Include Inactive checkbox. If the checkbox is grayed out, there are no inactive names.
  • Select the Name ▼ dropdown and then select Re-sort List.
  • Hit OK button.
  • Close your QuickBooks company file and reopen it.

From the Find window

  • You can use this step if you don’t have banking permission.
  • Go to the Edit menu and select Find.
  • Tap on the Advanced tab.
  • Go to the Filter list and select Name.
  • Select the Name ▼ dropdown and Ctrl + L keys on your keyboard.
  • Select the Include Inactive checkbox. If the checkbox is grayed out, it means there are no inactive names.
  • Select the Name▼ dropdown, then Re-sort List and hit OK button.
  • Close and reopen your company file.

From the window General Journal Entry

  • Go to the Company menu and select Make General Journal Entries.
  • Choose the Name column and press Ctrl + L keys on your keyboard.
  • Check the Include Inactive checkbox. If the box is grayed out, that means there are no inactive names.
  • Select the Name ▼ dropdown, then Re-sort List and hit OK.
  • Close your company file and reopen it.

Re-sort lists in QuickBooks for Windows

If you have your Item List or Chart of Accounts saved or stored numerically, the software re-sorts them based on their first three digits.

To ensure that you sort the list of items or Chart of Accounts in order, you can prefix 1 to 3-digit numbers to each of them.

  • Go to the Lists menu and select the list you need to re-sort.
  • Check the Include Inactive checkbox. If the box is not clickable and is grayed out, there are no inactive names.
  • Go to the View menu, choose Re-sort Lists and hit OK.
  • Close company file and reopen it.

Re-sort lists in QuickBooks (for Mac)

Start by re-sorting your customer list

  • Open the Customer Center.
  • Click on Edit at the top left of QuickBooks window.

  • Go to the Lists menu and select Chart of Accounts/ Items/ Classes.
  • Click on the All Names checkbox.
  • Select Edit at the top left hand corner of QuickBooks.
  • Select Re-sort List and press OK.
